We’re excited to announce the release of Multiple Resource Assignment, a long-awaited feature that simplifies the way teams collaborate on project items.
Gone are the days of duplicating tasks, risks, issues, or actions just to accommodate more than one responsible team member. With this update, you can now assign multiple resources to a single resource list field – whether it’s a task, an action, or even a stakeholder role – making collaboration more seamless and transparent.
What’s Changed?
Previously, PPO only supported assigning a single resource using a resource list data field to any project or project-related entity. This meant workarounds were often needed:
- Duplicating tasks to reflect each responsible resource.
- Creating additional fields like Business Owner 1, Business Owner 2 for stakeholder roles.
Now, with multiple resource support, you can assign all relevant team members to a single item using the field type, Resource List (Multiple), making collaboration and tracking much more efficient. Key use cases include:
- Tasks – Previously, assigning more than one person meant duplicating the task for each resource. Now, you can have multiple resources to a single task, ideal for shared delivery responsibilities.
- Risks, Issues, or Actions – You can now assign multiple contact persons or multiple owners responsible for monitoring, escalating, or resolving the item. This reflects real-world collaboration, where responsibility may be shared across project team members.
- Decisions – For key project decisions that involve multiple stakeholders (e.g., product or business owner and sponsor), assigning shared decision-making accountability ensures transparency and avoids bottlenecks.
- Lessons – Multiple contributors can now be attributed to lessons learned, whether they identified the issue, contributed insight, or proposed the resolution – offering a more accurate knowledge repository.
- Scope Changes – Often initiated by more than one stakeholder or team, you can now reflect all relevant requestors to ensure their inputs are formally captured and tracked.
- Work Items in Agile Delivery – Multiple assignees can now be reflected for backlog items supporting cross-functional teamwork, and flexible agile delivery practices.
Game-Changer for Scheduler Users
With multiple resource responsibilities now supported on tasks, it’s easier than ever for clients who want to manage resource allocations directly off the PPO Scheduler. No more workaround tasks or fragmented assignments – just a clear, consolidated view of who’s doing what and when.
Why This Matters
This change significantly improves data quality, reduces duplication, and supports a more collaborative, flexible project environment. It’s particularly impactful when planning in resource-constrained environments, where understanding and balancing workloads across shared responsibilities is critical.
Much like the deployment of the Multiple Select Custom Lists functionality, the Multiple Resource Select field type gives clients the flexibility to adopt the change at their own pace. Existing fields remain unchanged until you choose to update them, allowing teams to make considered decisions around where the feature adds the most value.

Things to Consider
As you start using this feature:
- Existing single-select fields can be converted to allow multiple selections where applicable.
- Reporting filters and Home Page dashboard views may need updates to accommodate multi-resource logic.
If you’re considering applying multiple resource selections to approval-related fields – for example, assigning multiple sponsors (typically an approver for Business Case or Project Charter documents) – it’s important to know that approval workflow rules will still be honoured.
However, support will be needed to correctly configure these scenarios. We recommend working with your Success Manager or our Support Desk to ensure your approval workflows accommodate the change and operate as expected.
Ready to Start?
The Multiple Resource Assignment feature is now available to all PPO clients, but it’s up to each organisation to decide how they want to apply it within their environment.
PPO Administrators should:
- Review existing single-select resource fields across entities like tasks, risks, issues, work items, etc.
- Decide where multi-resource assignment makes sense, based on how their teams work.
- Switch applicable fields by updating the field type to allow multiple selections.
