At PPO, we know that trust is earned — and that starts with how we handle your data. Whether you’re using our product daily or occasionally, we want you to feel confident that your information is in good hands.
We take information security seriously, and while we don’t expect you to be a cybersecurity expert, we do want to share a few of the ways we’re working behind the scenes to keep your data protected.
How We Protect Your Data
We use several key measures to keep your information safe:
- Everything sent between your device and our servers is encrypted, so no one else can read it.
- We follow secure development practices to minimize risk.
- Only a few trusted team members can access your data, and only when necessary. They require extra login protection like multi-factor authentication.
- Latest security updates are applied to stay protected against new threats.
- We perform regular vulnerability scans to identify weaknesses before they can be exploited.
- Our systems are watched 24/7 for unusual activity, so we can act quickly if needed.
- All activity is logged for auditing purposes.
Friendly reminder: PPO checks your password each time you log in, against known data breaches and alerts you if it’s weak or compromised — this is just another simple way we help you keep your account secure. Read our frequently asked question here.
Tips on Staying Secure
While we do everything we can on our end, security is a shared responsibility. Here are a few simple tips for keeping your account safe.
Start with keeping your password to yourself:
- Do not share it between users.
- Do not write it down for others to see.
- Avoid personal information in your passwords that can be easily guessed.
- Use a strong password. Longer passwords with upper/lowercase letters, numbers and symbols are more difficult for hackers to crack.
- Use a unique password. If one account gets compromised, you won’t leave other accounts vulnerable.
- Don’t try to remember all your passwords. Use a password manager to generate and store strong, unique passwords for each account.
Some other helpful tips:
- Keep your devices secure with lock screens.
- Keep your software updated.
- Avoid typing passwords on shared or public devices.
- Beware of phishing attacks, so look out for those suspicious links or emails.
- Use fingerprint or facial recognition for convenience and enhanced security.
- Use two-factor authentication where available.
PPO Administrators, you are encouraged to:
- Use PPO’s Single Sign-On (SSO) capabilities where possible.
- Enforce strong password policies under Administration | System Configuration | Security Settings.
- Ensure user accounts are well maintained under Administration | Users.
- Review the role-based access control under Administration | User Groups.
- Educate your users on healthy password use and spotting phishing attempts.
